July 2017 Release – Online Bookings

Imagine being able to give people other than your Priava users the power to check availability and create bookings including venues, event details, catering and inventory requirements on their own. Better still, imagine that these bookings appear in Priava in real-time and that email confirmations are sent to your administrators and your clients instantaneously.

Online Bookings is a completely self-service module for both administrators and site users. The main benefits include:

  • Live in 20 minutes – Create, customise and publish a booking site in 20 minutes;
  • Easy to set up and use – No Project Manager or technical assistance required;
  • Real-time updates – Changes to your booking sites can be made quickly and easily and will be updated in real-time.

Online Bookings is particularly beneficial for organisations that have multiple meeting rooms, event spaces, halls, sporting grounds, and other facilities that are in high demand and that need to be booked by internal staff and clients on a self-service basis.

 

Create Customised Booking Sites

As part of the subscription to this module, administrators have the ability to customise booking sites that can be used to suit different purposes across your organisation (i.e. you may wish to set up different booking sites for internal & external purposes, or for different venues). These sites can be accessed via a unique URL or embedded into your organisation’s website.

How many sites can I create?

Included in a subscription to Online Bookings, you will be allocated a maximum of three booking sites. Additional sites can be purchased if required.

Configure Specific Settings For Each Site

Define specific settings for each booking site including regional date and time settings, registration settings to determine whether or not anonymous or guest users can use the site and also conditions of hire for particular venues and bookings types.

In addition, tailor the design of the home page and booking site, configure default values for bookings made via the online site and customise communication preferences.  Most importantly, customise security settings for the site to determine which users can access the site.

Enable Single Sign-On (SSO)

Single Sign-On (SSO) is a session and user authentication service that permits a user to use one set of login credentials to access multiple applications. Enabling SSO ensures ease of access for users – This is particularly important for organisations wanting to create a self-service system for staff to use when booking internal meetings and events.

Customise Settings For Users & Groups

Group settings determine what information is available for particular users on the site and how the information appears. Within group settings, customise the appearance of the chart, define settings for each catalogue item (incl. event details, food, beverages, inventory and packages) and also customise email communication preferences to determine how booking confirmation and receipt emails will be sent to users and administrators.

Build Tailored Email Templates

Create tailored email templates including contact, organisation, event, report and user specific details for the purpose of booking confirmation and receipt notifications.


Using Online Bookings

Online Bookings has been designed to be interactive and user-friendly, empowering users to check availability, reserve venues, define event details, select catalogue items (incl. catering, inventory and packages) and process payments via an independent bookings site that is linked to Priava.

Furthermore, users can create an account so that each time they log in, they can see a full history of their upcoming and past bookings and repeat bookings as required.
